Events Project Manager – Conference & Events

Speakeasy is one of the UK’s leading event production companies with over 29 years’ experience producing award winning conferences, award ceremonies, exhibitions, and roadshows for a fantastic range of clients including high profile organisations, government agencies and associations. Over the past 2 years we have also successfully transitioned to and at the leading edge of the development into virtual and hybrid event delivery.

We are currently looking for a talented and experienced Events Project Manager to join our team. You will have worked previously as an Event Manager or Event Producer and understand the detail involved in large scale event production. This is a demanding, but exciting role where you will have the opportunity to work on a wide range of exciting projects.

The main areas of responsibility within this role will include:

  • Experience and ability to manage multiple projects simultaneously
  • Overall project management for a range of events; this can vary from large scale live events to major congresses, exhibitions, virtual and hybrid events – flexibility and the ability to adapt to different styles of events is key!  You will be responsible for managing the projects from contract to delivery.
  • Good knowledge and operational experience in all aspects of events such as sound, vision, lighting, stage and set design
  • Compiling comprehensive project plans and complex production schedules
  • Ensure all projects are always on track and meeting the key milestones within the agreed timeframes
  • Experience in creating and managing event budgets
  • Manage all third-party suppliers including venues, caterers, entertainers, and the technical support teams to ensure highest quality of service
  • A genuine interest in all things event related

Essential requirements:

Following the pandemic, we have returned to working in the office 2 days a week.  The other 3 days, the team can work from home if they choose to do so or can go into the office if they prefer.  The successful candidate will be expected to be onsite for all events and therefore needs to be happy to travel both nationally and internationally if required to do so for the role and sometimes out with of normal office hours.

  • Minimum of 5 years’ experience in project managing large events and/or conferences
  • Experience with managing multiple projects at the same time and able to work under pressure of changing plans and deadlines
  • Minimum of 3 years client facing events experience
  • Advanced experience in using Microsoft PowerPoint and Excel
  • Ability to travel within the UK and Internationally when required
  • Full UK Drivers licence
  • Must be eligible to work within the United Kingdom

Desirable requirements:

  • Virtual events experience
  • Experience with EventsAir event management platform
  • Event Agency background
  • Experience with Association Conferences
  • Previous experience with abstract management
  • Previous experience with implementing web site build/design and knowledge of mobile apps

Event Co-ordinator

Speakeasy is one of the UK’s leading event production companies with over 29 years’ experience producing award winning conferences, award ceremonies, exhibitions, and roadshows for a fantastic range of clients including high profile organisations, government agencies and associations.

We work on a wide range of events from conferences and roadshows to exhibition builds and live staged events, so we are looking for someone who is dynamic and willing to get stuck into all types of projects. The role requires a level of travel, so you would need to be happy to work away from home occasionally with some longer days when our events are live.

We are looking for someone with the enthusiasm and commitment to deliver exceptional events, someone who is motivated and passionate about customer service and the overall delegate experience for those attending our events. Having a creative flair would be a bonus!

Day to day

You will report to the Assistant Events Director however on a day-to-day basis you will be working directly with the Project Managers to provide full assistance in the delivery of each event. While most days will differ depending on the projects you will be working on, the main requirements for this role include:

  • Venue finding; conference centres, hotels, unique venues for gala dinners and social events
  • Site visits of venues
  • Supplier liaison; AV companies, Venues, Florists, Catering, Hotels
  • Accommodation and Travel Bookings; for clients and for team members
  • Assisting with the setup of the registration systems for the events
  • Management of delegate registrations and enquiries
  • Updating content on our event websites
  • Providing reports for the Project Managers on delegate registrations
  • Attending client meetings with the Project Managers
  • Onsite delivery of each event working in conjunction with the Events Director, Project managers and events administrators.
  • Good working knowledge of Excel and PowerPoint is a requirement, knowledge of events registration systems, mobile app and website content management is an advantage.

Essential requirements:

Experience in working in events

Ability to be able to travel within the United Kingdom and Internationally if required

Full UK Drivers Licence

Must be eligible to work with the United Kingdom
